1. Purpose
The Confidential Reporting and Response Mechanism provides a safe, child-friendly, and confidential way for learners, educators, parents, and other users to report incidents of abuse, harmful content, harassment, or violations of our platform guidelines.
2. Objectives
- Protect learners — especially minors — from harm or abuse.
- Encourage reporting without fear of retaliation.
- Provide a transparent and timely response process.
- Meet safeguarding commitments required by partners and standards.
3. Scope
This mechanism applies to all Cloudnotte users (students, teachers, parents, and administrators) and covers reports relating to abuse, bullying, sexual harassment, harmful content, privacy violations, or unethical conduct within or related to the platform.
4. Reporting Channels
a. In-App Reporting Button (Primary Channel)
A “Report a Concern” button will be available in the user menu and on relevant pages (chat, classroom, forum). The confidential form includes options such as:
- “I saw harmful or abusive content.”
- “Someone is threatening or bullying me.”
- “I feel unsafe using Cloudnotte.”
- “Other concerns.”
Users can submit reports anonymously or include contact details. Reports are automatically logged and encrypted.
b. Email Reporting
Users may send reports directly to[email protected]
c. School or Organization Channel
Schools using Cloudnotte may assign a local safeguarding officer who receives platform alerts when a student from their school files a report.

- All reports are handled with strict confidentiality.
- Only authorized Safeguarding Team members have access.
- Report data is stored securely and not shared without consent unless legally required.
- Anonymous reports are treated with equal seriousness.
7. Child-Friendly Design
- Use simple, age-appropriate language in reporting forms.
- Include icons or emojis to help younger users express feelings.
- Display a short “You Are Safe Here” message encouraging users to speak up.
- Provide links to child helplines and trusted adults (e.g., Nigeria’s 622 helpline).
8. Escalation & Accountability
- Reports involving potential child abuse are escalated immediately to the Safeguarding Lead and local authorities where required.
- Cloudnotte maintains an internal safeguarding register tracking reports, resolutions, and outcomes.
- The Safeguarding Team submits a quarterly anonymized report to management and partners.
9. Training & Awareness
All Cloudnotte staff and school administrators undergo annual safeguarding training. The in-app Safety Hub includes awareness materials, videos, and reporting guidance.
10. Review & Continuous Improvement
This policy and the reporting system are reviewed annually or whenever regulations or partner requirements change. User feedback informs improvements to make reporting faster, more confidential, and child-friendly.
