What is a "Cumulative Assessment"?
A Cumulative Assessment combines the assessments in a class and term into one weighted final result — you decide how much each one counts (as a percentage), and CloudNotte does the combining. Every class needs one Cumulative Assessment set up per term:
- If your school records 1st C.A., 2nd C.A. and the Exam as separate assessments, you'll combine all of them here with real percentages.
- If your school already scores each term as a single assessment, you'll still create one Cumulative Assessment for that term — it'll simply have one component at 100%.
This per-term step is what makes each term's result official on the report sheet. It is not where you build an annual or session average across 1st, 2nd and 3rd Term — that's a separate, later step. See "Seeing a combined result across terms" in the common questions below.
Where to find it
- Go to
Settings→Report Sheet. - Open the
Cumulativetab. This lists any cumulative assessments you've already set up. - Click
+ Create Cumulativein the top right.
This opens a short, guided wizard with three steps: Classes & Assessments, Advanced Settings (optional), and Review & Create.
Classes & Assessments
This is the only step you must fill in. Everything else is optional.
Name it
Give it a name you'll recognize later, such as "First Term Final Results" or "JSS2 Continuous Assessment".
Choose a grading system
Pick which grading system (A/B/C scale, or whatever your school uses) should convert the combined score into a grade. You can select more than one, and you can create a new grading system on the spot if the one you need isn't listed yet.
Add a class
For each class you're setting this up for, add a class card and fill in:
- Class — the class this applies to.
- Term — the term this applies to.
- Assessments to combine — add each assessment (e.g. 1st C.A., 2nd C.A., Exam) and set its percentage. A progress bar shows how close you are to 100%. If your assessments should simply be weighted equally, use
Split evenlyto divide 100% between them automatically.
The card turns green and the progress bar reads "Nice, that's 100%! This class is ready." If it's under or over 100%, CloudNotte tells you exactly how much to adjust.
Need this same setup for another class? Click + Add another class at the bottom and repeat. Each class you add becomes its own cumulative assessment — you can create several at once in a single wizard run.
Advanced Settings
Optional. Most schools can skip straight past this step — the defaults already work.
Main assessment
Only appears if a class has two or more assessments. Choose which assessment's comments (the teacher's written remarks) should be the ones printed on the final report.
Group assessments together
If you'd like several assessments to appear under one label on the report — for example, grouping "1st C.A." and "2nd C.A." under a single heading called "Continuous Assessment" — turn this on and create the group name. Most schools leave this off.
Pass mark
If your school uses a pass mark to decide promotion, enter it here (for example, 50). Students scoring at or above it can be marked PROMOTED, and you can choose whether to show that status on the printed report sheet. Leave this blank if you don't use it.
What shows on the printed report
Switches for things like class position, class/subject averages, top and bottom students, teacher comments and signatures, attendance, and resumption date. These already have sensible defaults — only change something here if you specifically don't want it shown.
Review & Create
A summary of everything you've set up, with an Edit link on each part in case something needs changing.
Check the name, grading system, and each class's assessments and percentages (a green Total: 100% confirms it's correct). When everything looks right, click Create Cumulative(s).
Creating it does not yet produce results for students — it only saves the setup. You still need to publish it (see below) to generate the actual combined results.
Managing a Cumulative Assessment
Once created, it appears as a card on the Cumulative tab, showing its class, term, and the assessments it combines. Each card has four actions:
| Action | What it does |
|---|---|
| View | See the full setup without changing anything. |
| Edit | Change the name, assessments, percentages, or advanced settings. |
| Publish | Generate the combined result for every student in the class. See below. |
| Delete | Permanently remove this setup. This cannot be undone, so you'll be asked to confirm first. |
Publishing
Publishing is the step that actually calculates and generates each student's combined result using the percentages you set. Before you publish, CloudNotte asks you to confirm:
- All the individual term results (1st C.A., 2nd C.A., Exam, etc.) have already been entered and published.
- The percentage weights are correctly configured.
- The grading system is properly set up.
You can also choose whether to show each student's class position on the result, and optionally notify students and/or parents by email or SMS once results are published. If you choose to notify by SMS or email, CloudNotte shows you the estimated cost before you confirm.
Publishing generates results for the whole class at once — double-check the checklist above before confirming, especially if you plan to notify parents right away.
Unpublishing
If a cumulative was published by mistake — wrong percentages, or before every term result was ready — it can be unpublished. This is not a gentle undo: it permanently deletes every student's cumulative result for that class.
- All cumulative results for the class are deleted immediately — this cannot be recovered.
- Students and parents lose access to those results the moment it happens.
- Any result pins already shared for those results stop working.
- You can republish afterwards, but it generates entirely new results — nothing is restored.
To confirm you mean it, you'll be asked to select the class name before it proceeds.
Only unpublish if you're certain — treat it the same as deleting the results outright, not as a toggle you can casually flip back and forth.
Common questions
- My percentages won't reach exactly 100% — what do I do?
- CloudNotte only lets you create the setup once every class's assessments add up to exactly 100%. Use the
Split evenlybutton for an equal split, or adjust each percentage by hand until the bar turns green. - I don't see an assessment I expected in the list.
- Only assessments created for that exact class and term appear, and only ones marked as a standard, enabled assessment. Double-check the assessment exists for that class/term combination in your assessment settings.
- Can I set this up for several classes in one go?
- Yes. Click
+ Add another classin step 1 for each additional class — each becomes its own cumulative assessment when you create. - Do I need to touch "Advanced Settings"?
- No. It's entirely optional and every setting already has a working default. Only open it if you specifically need a pass mark, grouped assessment labels, or to hide a section of the printed report.
- What's the difference between "Create" and "Publish"?
- Create just saves your setup (the classes, assessments, and percentages). Publish is the separate step that actually generates each student's combined result, ready to view and print.
- Seeing a combined result across terms
- To see a student's result across more than one term — 1st and 2nd Term together, or the full session — you don't create anything extra here. Go to
Check Cumulative Result, pick the student and class, and select more than one term (e.g. all three) inSelect Term(s). It pulls together whichever per-term Cumulative Assessments you've already published for those terms — so make sure each term you want included has already been created and published on its own first.
